Shipping & samples note

This printable shipping and samples note helps your team prep, track and audit crate deliveries or demo gear. Use it for bay trials, sample kits and incoming stock checks.

Who uses the shipping and samples note

The shipping and samples note is for workshop foremen, training coordinators and anyone receiving demo kits, sample gear or fixture packs. Fill it in during crate unpacking, bay setup or when handing sample items over to a trainer or welder.

Anyone on duty can update it: you just need the job card, shipping list and layout notes to match the gear received. It shows what arrived, any visible damage, and the handover between your shifts or teams.

  • Workshop foremen and section leads
  • Shift supervisors and trainers
  • Bay auditors or safety reps

What to record and how to fill in the note

The card has a space for the crate code or waybill, date, who opened the crate, and what bay or zone the items are for. Each item line lets you tick off the count, note condition, and add any missing or damaged parts. There’s a tick for demo use, permanent install or return.

Check the demo dogs, jaw packs, plates or rails against the packing slip. If you spot a bent clamp or a missing kanban card, jot it down. Don't forget to note if bay photos were taken and attach them to the shift log if required.

  • Crate code or shipping reference
  • Item counts and condition on arrival
  • Tick for demo, install or return
  • Note of any damage or shortfalls
  • Names and date of receiving team

How the note supports your workshop shifts

Keep the sheet on a clip at the bay for the full trial month, so all shifts can check off new arrivals, fit checks and any swaps or returns. Use it in toolbox talks to flag any gear issues or crate delays. Supervisors can audit it at month-end to confirm everything matches the job flow and nothing has gone missing.

If a demo kit gets moved to another bay or a jaw pack is returned early, just update the sheet and note who handled it. That way, you always have a record for the next stock check or safety handover.
